How we look after your information
Last updated: 26 September 2026
This policy explains how Gords Design & Build (“Gords”, “we”, “us”) collects and uses personal information when you visit this website or contact us about a project. We are the controller of that information under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who we are
[Registered company name], registered in England and Wales under company number [company number]. Registered office: [registered address]. ICO registration number: [ICO number].
For any question about this policy or your information, email [privacy email].
What we collect
When you send an enquiry. The enquiry form asks for your name, email address, phone number (optional), town or postcode, the service you are interested in and a description of your project. Anything else you choose to share with us later, such as drawings, photos or your home address for a site visit, is handled in the same way.
When you browse the site. Like most websites, our hosting provider’s servers automatically record technical information such as your IP address, browser type and the pages requested, to keep the site running and secure.
We do not use analytics, advertising or tracking tools, and we do not buy personal information from third parties.
How and why we use it
- To reply to your enquiry, discuss your project, prepare a quote and arrange a consultation – because you have asked us to take these steps before entering into a contract (UK GDPR Article 6(1)(b)).
- To carry out and manage your project if you become a client – to perform our contract with you (Article 6(1)(b)).
- To keep records we are required to keep, for example for tax and accounting – to meet our legal obligations (Article 6(1)(c)).
- To keep the website secure and working properly – in our legitimate interests (Article 6(1)(f)).
We will not send you marketing emails unless you have asked us to, and you can opt out at any time.
Who we share it with
We never sell your information. We only share it where needed to run our business:
- Service providers who host this website and deliver our email, acting on our instructions.
- Google Fonts – the website loads its typefaces from Google, so your browser sends your IP address to Google when a page loads. See Google’s privacy policy.
- Professionals working on your project, such as structural engineers, surveyors, the local planning authority and building control, when this is needed to design and build your project.
- Authorities, where the law requires it.
International transfers
Some of our service providers, including Google, may process information outside the UK. Where they do, the transfer is protected by UK adequacy regulations (including the UK Extension to the EU–US Data Privacy Framework) or by the International Data Transfer Agreement or Addendum approved by the Information Commissioner.
How long we keep it
If your enquiry does not lead to a project, we delete it within [24 months] of our last contact. If you become a client, we keep project records for [7 years] after the project is completed, to meet legal, tax and warranty requirements. Server logs are kept for a short period by our hosting provider.
Cookies
This website does not set advertising, analytics or tracking cookies. Only strictly necessary cookies may be used, for example to keep the website secure, and these do not need your consent. If we ever add optional cookies, we will ask for your consent first.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to restrict how we use it, or object to our using it;
- ask us to transfer information you gave us to another organisation.
To make a request, email [privacy email]. We will reply within one month and there is normally no charge.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
